Purchasing Clerk

SUMMARY

The Purchasing Clerk is responsible for the timely and accurate preparation and distribution of purchase orders.

MINIMUM QUALIFICATIONS

  • High School diploma or GED required.
  • Must have at least two years' experience working in an office environment.
  • Must be able to lift 50 pounds
  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Review requisitions in order to verify accuracy, identify fixed assets, terminology and specifications prior to promoting to a purchase order.
  • Respond to program staff and vendor inquiries about order status, changes, or cancellations.
  • Coordinate returns with vendors.
  • Assist with shipping/receiving and act as backup for receiving/delivery when needed.
  • Obtain authorized signatures on purchase orders.
  • Answer telephones and respond to phone inquiries in a professional, timely manner.
  • Be knowledgeable of purchasing policies and procedures.
  • Assist with matching receiving documents with purchase orders.
  • Assist in maintain an orderly filing system of all stock inventory reports, purchasing & receiving documents.
  • Monitor open purchase orders and work with program staff to close purchase orders when they are no longer needed.
  • Must demonstrate ability to work with other accounting personnel with minimum supervision when required.
  • Assist in the arranging of flights, hotel, transportation, and per diem for traveling employees.
  • Assist with the front desk/cash receipts, as needed.
  • Perform other duties as assigned.

  • Must have outstanding written and verbal communication skills.
  • Must have excellent math skills and comprehension skills.
  • Good time management and organizational skills are critical.
  • Excellent interpersonal skills with demonstrated patience, tact, and respect.
  • Exceptional detail and follow-up skills.
  • Work requires proficiency in computer literacy, preferably in Windows, Word, and Excel.
  • Recognizes technical problems or deviations from normal procedure and confers with immediate supervisor to resolve them after searching precedents to develop a recommended solution.
  • Uses good judgement in interpreting guidelines, in adapting department procedures, or in recommending approaches or solutions for specific problems.

EDUCATION and/or EXPERIENCE

  • High School diploma or GED required.
  • At least two years' experience working in an office environment.

DRIVING REQUIREMENTS

Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

SUPERVISORY RESPONSIBILITIES

None.

EQUIPMENT TO BE USED

General office equipment; calculators, computers, copiers, fax, phone systems, etc.

TYPICAL PHYSICAL DEMANDS

Work requires sitting, lifting, reaching, walking, and lifting to fifty pounds. Also requires manual dexterity to operate office equipment, keyboarding, copiers, etc. Should have corrected normal range of hearing and sight. Regularly requires verbally expressing or exchanging ideas of important instructions accurately, loudly, or quickly.

TYPICAL MENTAL DEMANDS

The employee uses judgement in identifying and selecting the most appropriate procedures to use, or in determining which of several established alternatives to use. Some deadlines are involved, so there is time pressure on occasion.

WORKING CONDITIONS

A good deal of work is performed in an office environment, but it is important to realize that some of the work is in the offices of the various properties and that you are expected to go on-site on a regular basis.

COMMENTS

Native American Preference will apply. Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy regarding confidentiality is a must.
