Multimedia Specialist

SUMMARY

To provide direct assistance in all aspects of work required of the GTB Communications Program under assignment of the Editor including but not limited to working to implement both internal and external communication programs and projects for the department and GTB Membership while staying within the approved department budget.

MINIMUM REQUIREMENTS

  • Associates Degree in the field of communications or show certification in one or more Adobe Creative Cloud programs.

  • Have recent work experience in the field of communications.

  • Accustomed with print shop equipment and web page editing.

  • Familiar with Audio/Visual recording equipment and editing software.

  • Must have a valid Michigan Driver's License and be insurable by the GTB insurance carrier.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Perform basic print, photo, and video activities to create and distribute products used by government divisions

  • Assist with generating the monthly Tribal Newsletter including but not limited to photography, written correspondence and layout

  • Facilitating and management of the GTB web page including updates and training.

  • Maintain the calendar and provide accurate and update information on the GTB website including web ads and members services.

  • Conduct periodic Membership surveys utilizing web-based tools in order to secure information to update and/or increase website usage.

  • Oversee and facilitate the recording system in the Tribal Council Chambers for broadcasting meetings to the GTB Membership, which includes pre-production, production and post-video production.

  • Correspond with contractor and secure bids for projects as necessary in order to provide up-to-date services for the department and Membership.

  • Provide training to individuals or small groups involving website/recording equipment and methods.

  • Must be able to communicate effectively and professionally both verbally and in writing with all staff, visitors, supervisors, and all that may enter our tribal offices.

  • Follow all rules, regulations, and policies of the Grand Traverse Band.

  • Must adhere to the confidentiality of the department.

  • Answer all department calls in a professional manner, taking messages and providing quick response when possible, forwarding important calls through the designated chain of command.

  • Assist in taking precise work order requests.

  • Monitor office supply inventory to include ordering to ensure sufficient supply stock for daily operations.

  • Keep department files and vendor lists up to date.

  • Develop and maintain filing system for invoices and match invoice to orders received.

  • Develop and maintain filing system for archive projects.

  • Must be available to perform duties outside of the regular 8-5 office hours.

  • Must be punctual and professional when reporting for duty as scheduled by your supervisor.

  • Must be up to date with all social media networks.

  • Coordinate with the Grants Department for outreach programs.

  • Coordinate with the IT Department on projects including but not limited to the sound system and website.

  • Occasional budgetary tasks, such as data entry, purchase orders and print requsitions.

  • Other duties as assigned by supervisor.

OTHER SKILLS AND ABILITIES

  • Must have excellent verbal and written communication skills.

  • Must have excellent interpersonal skills with demonstrated patience, tact and respect.

  • Must have exceptional detail and follow-up skills.

  • Ability to quickly evaluate alternatives and decide on a plan of action.

  • Must have advanced computer skills.

  • Must be able to work independently and/or as part of a team.

EDUCATION AND/OR EXPERIENCE

    • Associates Degree in Multi-Media Production, Graphic Design, Marketing, Visual Communication, Digital Film and Video production or proof of one or more Adobe Program certifications.

    • Recent experience in the field of communications is required.

  • Must demonstrate proficiency in computer skills in various software programs including but not limited to Desktop publishing, word processing, spreadsheets, graphics, and photo edit software.

  • Experience in Mac and Windows preferred.

  • Experience with Adobe Creative Cloud software.

  • Use of digital and 35mm camera equipment

  • Knowledge and experience working with a variety of printing and bindery equipment.

OTHER REQUIREMENTS

  • Must have a valid Michigan Driver's license and be insurable by the GTB insurance carrier.

  • Must attend training as recommended by the Communications Coordinator/Editor.

SUPERVISORY RESPONSIBILITIES

None

EQUIPMENT TO BE USED

All basic office equipment, including but not limited to computers, printers, fax machines, phone systems, copier, answering machines, typewriter, Desktop software programs, recording systems, digital and 35mm camera equipment and a variety of printing and bindery equipment.

TYPICAL PHYSICAL DEMANDS

  • Must be able to sit, stoop, bend and move basic office supplies.

  • Must be able to work in an atmosphere with some interruptions.

  • Must be willing to spend up to several hours outside for event coverage.

  • Must be able to spend prolonged periods of standing.

WORKING CONDITIONS

This position works primarily in the Communications office. Office is air-conditioned. May face some noise due to print shop being near office. May be asked to travel to meetings and community activities on nights and weekends and assist with meeting set-up.

COMMENTS

Native American preference will apply. Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy in regard to confidentiality is a must.
