Membership Coordinator Assistant

SUMMARY

To provide assistance to the membership coordinator in all aspects of the programs in the membership office. Fill in as needed when coordinator is not available to attend meetings and other job assignments as directed by the coordinator. To be available to further training in enrollment procedures with outside training and the Bureau of Indian Affairs.

MINIMUM REQUIREMENTS

  • Must have a high school diploma or GED
  • Must have 3 years of experience in membership related duties.
  • Must be able to multi-task, be detail oriented, and have effective interpersonal, oral and written communication skills.
  • Must have a genuine interest in genealogy.

RESPONSIBILITIES

  • To report to work from 8:00 a.m. to 5:00 p.m., Monday through Friday, or as otherwise scheduled.
  • Must be punctual and a self-starter with good organizational skills and ability to work with others.
  • Must be in compliance with all GTB policies and procedures.
  • Become knowledgeable of all GTB service programs and make referrals as necessary.
  • To coordinate with membership director and assist in meeting directives of the programs that are included in the membership office.
  • To provide the members with regular and photo identification.
  • Assist in the research of membership applications, which include future members, tribal adoption and request for degree of Indian Blood changes.
  • To work with other tribal offices that require information from the membership office and provide that information in a professional and timely manner.
  • To maintain strict confidentiality of all files and cases in the membership office.
  • To attend meetings and functions as directed by the coordinator.
  • Be available for training to update skills that may be necessary for growth of the position.
  • When the coordinator is not present, individual must be able to maintain the office including supervision of other employees.
  • Contact the Membership Coordinator in case of tardiness or absence.
  • To be able to handle high stress situations when dealing with members and applicants for membership.
  • To be able to keep detailed contact records when dealing with members and applicants for membership.
  • Answer daily incoming calls and take accurate messages.
  • To process Michigan Indian Tuition Waivers.
  • To process ICW request for information.
  • Provide monthly baseline information to Department Manager.
  • To provide information to Tribal Council when requested about issues concerning membership and other programs within the Membership Office.
  • To be trained in the enrollment procedures of the Grand Traverse Band and the Bureau of Indian Affairs Enrollment procedures.
  • To become familiar with the Grand Traverse Band constitution concerning membership.
  • To provide assistance to coordinator in maintaining and updating membership files.
  • To become familiar with the Grand Traverse Band base roll, the Durant Roll and Durant field notes.
  • To provide assistance in Grand Traverse Band elections when required to do so, which may include travel and election booth work in the tribes six county service area.
  • Prepare Check Request and Purchase Requisitions as needed.
  • Perform required job responsibilities of Program Director 1271.
  • Other duties as assigned that relate to the functions of the membership and/or per capita distribution.

OTHER SKILLS AND ABILITIES

  • Work requires proficiency in computer literacy, preferably in Microsoft Windows, Office Products and Database applications
  • Must have a valid and unrestricted Michigan Driver's license and appropriate endorsements for all vehicles required to operate in the performance of duties.
  • Must pass a Michigan Vehicle Report (MVR) and be able to be insured by the Tribes driver insurance carrier.
  • Must pass GTB Security and Character Investigation and consent form mandated by Federal Law.
  • Be willing and able to complete Program Directors Training class within one year of hire date.
  • Must have outstanding written and verbal communication skills.
  • Good time management and organizational skills are critical.
  • Excellent interpersonal skills with demonstrated patience, tact, and respect.
  • Exceptional detail and follow-up skills.
  • Ability to quickly evaluate alternatives and decide on a plan of action.
  • Recognizes technical problems or deviations from normal procedure, and confers with immediate supervisor to resolve them after searching precedents to develop a recommended solution.
  • Uses good judgment in interpreting guidelines, in adapting department procedures, or in recommending approaches or solutions for specific problems.

EDUCATION AND/OR EXPERIENCE

Must have a high school diploma or GED.

SUPERVISORY RESPONSIBILITIES

Must be able to assume the supervisory duties of the Membership Coordinator in his/her absence.

EQUIPMENT TO BE USED

General office equipment such as, calculators, computers, modem, copiers, fax, phone systems, etc.

TYPICAL PHYSICAL DEMANDS

Work requires sitting, lifting, reaching, walking, and lifting heavy objects, such as a case of paper or several books at once. Also requires manual dexterity to operate office equipment, keyboarding, copiers, etc. Should have corrected normal range of hearing and sight.

TYPICAL MENTAL DEMANDS

The employee uses judgment in identifying and selecting the most appropriate procedures to use, or in determining which of several established alternatives to use. Some deadlines are involved, so there is time pressure on occasion.

WORKING CONDITIONS

A good deal of work is performed in an office environment, but it is important to realize that some of the work is on the floor and in the offices of the various properties and that you are expected to go on-site regular basis.

COMMENTS

Native American Preference will apply. Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy in regard to confidentiality is a must.
