Medical Billing/Data Entry Clerk

SUMMARY

The Medical Billing/Data Entry Clerk is responsible for the data entry and timely submission of clinic super bills for billing to PSP. This position works closely with the Health Applications Coordinator and Medical Records staff. Works closely with clinic Providers to ensure proper documentation of records/ codes for accurate billing, and ensure all 3rd party payers' resources are properly identified. They will assign access codes for staff in the Resource Patient Management System and to coordinate with Contract Health to integrate patient data. This position will also cross train with the dental staff as well as the contract health staff.

MINIMUM QUALIFICATIONS

  • High School diploma or GED.
  • Must have knowledge of CPT / ICD- coding and understand medical terminology.
  • Must have at least one year of experience in a medical office setting.
  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintain patient confidentiality as per Health Insurance Portability and Accountability Act (HIPAA) of 1996 and complete HIPAA compliance training.
  • Report to work promptly for a workday of 8 a.m. to 5:00 p.m.
  • Review Provider notes to ensure that all services rendered are billed properly.
  • Ensures timely data entry of patient visits for the medical clinic
  • Reviews dental patient visits to ensure that all services rendered will be billed properly by the dental clinic
  • Data enter all diagnosis codes and billing codes in RPMS for billing preparation.
  • Process reimbursement checks for 3rd party payers for accounting and forward to PSP for reconciliations
  • Assist in monthly dental closeout for billing.
  • Maintain close communications with PSP for billing purposes
  • Attends meetings with billing company as requested to review any billing issues.
  • Maintain proper files / records for completed patient visits and ensure records are complete, accurately documented, and systematically organized.
  • Assign access codes, assist staff with lockouts, assign proper keys for staff personnel, and other duties relative to the system.
  • Coordinate with I.H.S and other agencies to ensure patch installs are working properly.
  • Provide system reports as requested by staff for health program, special reports, and Business Manager
  • Attends workshops and seminars for professional development
  • Attend meetings as requested by Supervisor
  • Assist dental staff as needed.
  • Other duties as assigned by Supervisor or Business Manager

OTHER SKILLS AND ABILITIES

  • Must have excellent verbal and written communication skills.
  • Must have excellent interpersonal skills with demonstrated patience, tact and respect.
  • Must have exceptional detail and follow-up skills.
  • Must have proven proficiency in computers, including Microsoft Windows Operating System and Microsoft Office Suite and the Resource Patient Management System (RPMS).

EDUCATION and/or EXPERIENCE

  • High School diploma or GED certificate.
  • Must have knowledge of CPT / ICD- coding
  • Must have at least one year of experience in a medical office setting.
  • Understanding of medical terminology.
  • Basic Contract Health knowledge preferred.

EQUIPMENT TO BE USED

General office equipment such as computers, calculators, modem, copiers, fax machine, telephone systems, etc.

TYPICAL PHYSICAL DEMANDS

Work requires sitting, lifting, reaching, walking, and lifting heavy objects, such as a case of paper or several books at once. Need to be in good physical and mental health. Assisting of patients may be required from time to time. Also requires manual dexterity to operate office equipment, keyboarding, copiers, etc.

TYPICAL MENTAL DEMANDS

The employee uses judgment in identifying and selecting most appropriate procedures to use, or in determining which of several established alternatives to use. Some deadlines are involved, so there is time pressure on occasion.

WORKING CONDITIONS

A good deal of work is performed in an office environment, but it is important to realize that some of the work is on the floor and in the other offices.

COMMENTS

Native American Preference will apply. Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy regarding confidentiality is a must
