Maintenance Coordinator

SUMMARY

The Maintenance Coordinator is responsible for the overall management, administration, coordination, oversight and direction of the Maintenance staff of the Housing Department. This position is also responsible for the proper administration, planning and monitoring of grounds maintenance, including snow removal, housekeeping, facilities, evaluation, planning, routine repairs and planned rehabilitation/refurbishing of all Housing units. Also included are summer site preparation, installations, repairs, upgrades, grass cutting and other outside maintenance.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Oversee and prepare preventative maintenance schedule for all Housing units and buildings/
  • Create and monitor long-term tenant projects.
  • Create and maintain Work Order schedule for routine, daily and emergency situations.
  • Develop timelines on rehabs of units and schedule rehabs with staff.
  • Make service calls as necessary for maintenance unable to be performed by staff.
  • Maintain tool inventory and database.
  • Maintain all equipment and service calls related to the maintenance of the equipment.
  • Perform all other required responsibilities for the management of personnel.
  • Review the size and nature of caseloads on a quarterly basis, with all direct services staff.
  • Distribute questionnaire to determine client satisfaction and periodically assess community needs and satisfaction.
  • Coordinate in-service training session of topics related to the service delivery.
  • Assure that training of staff and any certification of licenses are current, and that staff is meeting the continuing education requirements in a timely manner.
  • Recommend and report on program goals and objectives monthly to Department Manager.
  • Develops, maintains and follows Department Maintenance Policy.
  • Sets building specific schedules, checklists and work reporting requirements for all custodial tasks on a daily, weekly, monthly or other basis as needed to maintain minimum standards of cleanliness.
  • Negotiates and administers all contracts for services to physical long-term assets (i.e., exterminator agreements, security systems installation and service, energy analysis, etc.) by outside agencies, surveyors/suppliers, service and maintenance organizations.
  • Maintains Shop and storage buildings in a neat and orderly fashion.

OTHER SKILLS AND ABILITIES

  • Ability to communicate effectively orally and in writing as required.
  • Ability to work independently and establish priorities.
  • Good time management and organizational skills are essential.
  • Proficiency in computers using Microsoft Windows, Word, Excel, Outlook, and other Microsoft office products.
  • Must be familiar with contracting requirements and procedures, and demonstrated ability to initiate, negotiate, establish and manage vendor/supplier contracts.
  • Must be detail and deadline oriented.
  • Plan and participate in community information and educational events as requested/needed.
  • Develop Department goal and objectives, establish individual program goals and objectives and work with staff in development of their goals and objectives.
  • Meeting regularly with Department personnel to review Department objectives and discuss programmatic issues.
  • Adhere to all GTB policies and procedures

EDUCATION and/or EXPERIENCE

  • Associates Degree in Facility Maintenance Management, Business, or Administrative Services required. *
  • Five years of Facilities Management experience preferred.
  • Minimum of five years supervisory or management experience.

SUPERVISORY RESPONSIBILITIES

  • Direct supervision of all Maintenance personnel.
  • Prepare and conduct regular performance Evaluation reviews.
  • Initiate performance management procedures to address and correct performance deficiencies.
  • Coordinate staff training.

EQUIPMENT TO BE USED

General office equipment such as calculators, computers, modem, copiers, fax, phone systems, etc.


TYPICAL PHYSICAL DEMANDS

Work requires sitting, lifting, reaching, walking, and lifting heavy objects, such as a case of paper or several books at once. Also requires manual dexterity to operate office equipment, keyboarding, copiers, etc. Should have corrected normal range of hearing and sight.


TYPICAL MENTAL DEMANDS

The employee uses judgment in identifying and selecting the most appropriate procedures to use, or in determining which of several established alternatives to use. Some deadlines are involved, so there is time pressure on occasion.


WORKING CONDITIONS

A good deal of work is performed in an office environment, but it is important to realize that some of the work is on the floor and in the offices of the various properties and that you are expected to go on-site regular basis.


COMMENTS

Native American preference will apply. Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy in regard to confidentiality is a must.
