Human Resource Associate

SUMMARY

The Human Resources Associate is to assist with administration of the day-to-day operations of the human resource functions and duties, including but not limited to: maintaining and updating job posting daily; greeting and screening applicants; entry of application and employment data into computer; schedule appointments and interviews; complete new hire paperwork and orientation; assist with in-going and out-going mail; deliver information to hiring managers; and support Human Resources at job fairs or GTB functions.

MINIMUM REQUIREMENTS

  • High School Diploma or GED
  • 2 years of HR experience with 1 year of office experience required.
  • Microsoft Office Experience.
  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide services including, staffing, employment processing, health care benefits, training, record management, orientation and retention and completing personnel transactions.
  • Pre-screen candidates to determine skill sets send/forward, distribute applications, review employment history, interest level and potential as compared to job requirements and then refer qualified candidates to Managers and/or Supervisors.
  • Greet employees, guests, job applicants and assist newly hire employees with required paperwork.
  • Assists with recruitment and interview process.
  • Data entry into various computer programs; seniority restoration/adjusted time off, new person ID, Personal Action Form (PAF) entering into New World System (NWS).
  • Administrator/Maintain Applicant Tracking System (ATS)
  • Assist with Human Resource Information System (HRIS) and Timekeeping System.
  • Maintain the I-9 forms and ensure they are up to date.
  • Pull past employee personnel files or system data for requested information.
  • Participate in and/or lead various Job and Career Fairs.
  • Update and send out daily job postings and request for proposals (RFP).
  • Ensure that positions are filled in a timely manner.
  • Extend offers of employment to selected candidates and notify those not selected.
  • Answer phones, forward calls and/or take messages as appropriate.
  • Comply with code of confidentiality and Health Insurance Portability and Accountability Act (HIPAA) at all times.
  • Maintain records by maintaining applications, applicant logs and position files.
  • Assist with the completion of applicant new hire/contractual paperwork, pre-employment testing and conduct weekly orientation.
  • Assist with RFP prescreening including background check and drug/alcohol testing.
  • Coordinate actions with other departments within the company such as Payroll, Background and Economic Development Corporation (EDC) Human Resources (HR).
  • Manage and keep current the approved driver's list and review MVR's for compliance.
  • Work closely with Auto Shop supervisor on driver eligibility.
  • Other duties as assigned by supervisor.

OTHER SKILLS AND ABILITIES

  • Must be proficient in computers, possessing a strong working knowledge of Microsoft Word, Excel, Access, Outlook, Power Point, ID Point, the internet, and other computer programs.
  • Must have outstanding written and verbal communication skills.
  • Good time management and organizational skills are critical
  • Excellent interpersonal skills with demonstrated in the Seven Grandfather Teachings
  • Exceptional detail and follow-up skills.
  • Must be able to establish priorities and meet deadlines.
  • Must possess the ability to interact with all levels of Tribal Government, as well as job applicants.
  • Must display a high degree of emotional maturity while keeping difficult situations in proper perspective.
  • Willing to complete Tribal Human Resource Professional (THRP) Certification.

EDUCATION and/or EXPERIENCE

  • High School Diploma or GED
  • 2 years of HR experience with 1 year of office experience required.

  • Associates Degree in Business Administration or related field or two years' experience in related field preferred*.

DRIVING REQUIREMENTS

  • Travel to other sites within the six county areas for trainings, meetings, and other duties as needed.
  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

SUPERVISORY RESPONSIBILITIES

None

EQUIPMENT TO BE USED

Personal computer, software programs, copier, fax, scanner, multi-line telephone, printers, and other general office equipment.

TYPICAL PHYSICAL DEMANDS

  • While performing the duties of this job, the employee is regularly required to talk or listen.
  • The employee is required to sit, stand and walk on occasions
  • The employee must occasionally lift and/or move up to 25 pounds.

TYPICAL MENTAL DEMANDS

  • Will be required to deal professionally and effectively with employees and applicants, handling the occasional stressful situation.
  • Must be able to work productively under time constraints and variable deadlines.

WORKING CONDITIONS

A good deal of work is performed in an office environment, but it is important to realize that some of the work is in the offices of the various properties and that you are expected to go on-site on a regular bases.

COMMENTS

Native American preference will apply. Must be able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy in regard to confidentiality is a must.
