Data Entry Clerk/Clerical Support Assistant

SUMMARY This position is located in the courthouse. The applicant will perform electronic data entry as directed by the designated supervisors primarily to organize information supporting the various functions of the Court as well as various Tribal Departments who request statistical information. This position will also perform various clerical duties as directed by the Court Administrator/Tribal Judges. The applicant will be directly supervised by the Court Administrator.


MINIMUM QUALIFICATIONS

  • Must be 18 years of age with a High School Diploma or GED.
  • Must possess basic mathematical skills.
  • Basic Microsoft office knowledge required.
  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • To report to work promptly, from 8am to 5pm, Monday through Friday, to assigned department.
  • To comply with all GTB Personnel and Court policies.
  • To maintain and to perform duties with the highest level of confidentiality in all Court related matters involving clients, guests and related records.
  • To attend meetings as scheduled/directed.
  • To be available for training to update skills necessary for growth of the position.
  • To perform all electronic data entry, filing and record keeping as assigned. Data entry includes, but is not limited to: digitizing/scanning in and organizing every case file in the Court onto the GTB network; scanning in and organizing every probation file in the Court onto the GTB network; digitizing/scanning/updating FullCourt Enterprise Database with pertinent Court and Probation documents/data to include Judicial segment of Tribal Court convictions for background searches; and assisting the GTB Newsletter in copying all cassette tapes in the Court to a more permanent media.
  • Greet clients and guests assisting with information including answering general questions about Tribal Court, the GTB community and visitor related services within the region
  • To ensure clients and visitors check in upon arrival to the Tribal Court building.
  • Assist in answering daily incoming calls, forward calls and direct visitors, GTB clients and guests to appropriate personnel/departments.
  • To become knowledgeable in GTB Departments, phone numbers, services and staff in order to make referrals as necessary.
  • Assist with daily mail drop off/retrieval and processing.
  • To assist with mailings as requested by Court Administrator.
  • To assist Court Clerks/Staff with clerical duties as assigned by Court Administrator.
  • Must be punctual, have good organizational skills and ability to work well with others.
  • Perform other duties as required/assigned.

  • Excellent interpersonal skills with demonstrated patience, tact, and respect.

  • Maintain professional attitude and demeanor regarding highly critical issues involving confidential information.
  • Work with persons of diverse ages, races, ethnic and socioeconomic backgrounds.

EDUCATION and/or EXPERIENCE

  • Must be 18 years of age with a High School Diploma or equivalent;
  • Must possess basic mathematical skills.
  • Prefer some previous office and/or technology experience. Basic Microsoft office knowledge required.
  • Two years data entry experience and customer service and legal experience preferable.

DRIVING REQUIREMENTS

  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.
  • Must have appropriate endorsement for all vehicles required for operation in the performance of duties.

SUPERVISORY RESPONSIBILITIES

No supervisory responsibility is required.


EQUIPMENT TO BE USED

General office equipment such as, computer, printer, scanner, copier, fax, phone systems, specialized court database systems, etc. Ability to operate an automobile in course of assigned duties.


TYPICAL PHYSICAL DEMANDS

Work requires sitting, lifting, reaching, walking, and lifting heavy objects, such as a case of paper or several files at once up to 25 lbs. Also requires manual dexterity to operate office equipment, keyboarding, copiers, etc.


TYPICAL MENTAL DEMANDS

Must be able to effectively handle stressful situations while remaining focused and professional. Also be able to deal with difficult people and situations without losing patience and perspective, the applicant must be able to maintain a positive and friendly attitude towards all visitors. Further, must possess ability to sort through complex issues, initiate required directives and implement, process and/or correct procedures in order to accomplish the goals of the position.


WORKING CONDITIONS

Work is performed in an office environment. The work environment is a one-story office building, handicap accessible and climate controlled. Culture and traditional ways may be practiced, but such observation is not mandated or always visible to non-Natives. Non-traditional use of tobacco is not permitted in the building, designated smoking areas are outside. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.


COMMENTS

Native American Preference will apply. Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy in regard to confidentiality is a must.
