Clinic Receptionist

SUMMARY

The Clinic Receptionist is responsible for scheduling patients, greeting patients, maintaining smooth patient flow, making patients feel comfortable, and maintaining a confidential environment in the Clinic. Works closely with the Medical Records Clerk and will be required to share the respective duties of this position on a regular basis. Will support vaccination clinics and COVID-19 testing efforts, including administrative and clinical work.

MINIMUM QUALIFICATIONS

  • High School diploma or GED certificate.
  • One year of experience in a medical office setting preferred.
  • Understanding of medical terminology.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Monitor and maintain the orderly appearance of the reception office and waiting room to include disinfecting all hard surfaces and toys daily.
  • Ensures that all records are complete and accurately documented, readily accessible and systematically organized.
  • Monitors medical records to make sure charts are complete, up to date, and include all appropriate information such as accurate patient identification and demographic information, appropriately signed consent forms, pertinent medical history, assessment of the health status and health care needs of the patient, including patient vitals, chief complaint and symptoms as described by the patient, etc.
  • Attend workshops and seminars for professional development.
  • If proper information and documentation are not included in the medical record, works with clinical staff to make sure missing information is put into the medical record.
  • Pulls charts for next day's appointment; pulls charts for afternoon appointments. Collaborate with nursing staff in pulling charts for walk-in patients.
  • Refills charts in timely manner throughout the day.
  • Collect information regarding patients utilizing all GTB health services, including Health Clinic, Community Health (CHRs, BCCP, etc.), Behavioral Health, ICW, Optical, etc.
  • Consult with staff and management regarding eligibility and registration issues.
  • Keep updated regarding "user pop" and eligibility issues/trends. Educate other GTB personnel about new guidelines, regulations, etc.
  • Coordinates and implements special medical records projects as assigned.
  • Attend meetings as requested by supervisor(s).
  • Assist other staff as needed and accept other duties as assigned.
  • Ability to multi-task and to prioritize duties and assignments appropriately and effectively.
  • Adherence to medical/universal precautions in accordance with GTB Clinic Policies and Procedures.
  • Maintains RPMS Data Entry with a minimum requirement of knowledge specific to RPMS/Patient Registration/Scheduling/PIMS/PCC Data Entry/RCIS and ROIS packages.

  • Must have proven proficiency in computers, including Microsoft Windows Operating System and Microsoft Office Suite and the Resource Patient Management System (RPMS).

  • Must be compassionate to those less fortunate and in need and sensitive to cultural and traditional methods.
  • Input and provide statistical data for all health programs on a regular basis.
  • Maintain accurate and updated patient information.
  • Assist clients in completing registration process in accordance with Clinic policy.
  • Follow all clinic policies and procedures at all times.

EDUCATION AND/OR EXPERIENCE

Must cross train in the following areas:

  • Scheduling of patients according to RPMS/or required data entry program
  • Patient intake, Data entry
  • Basic Purchased Referred Care knowledge. Basic understanding of benefits coordination.

EQUIPMENT TO BE USED

General office equipment such as computers, calculators, modem, copiers, fax machine, telephone systems, etc.

TYPICAL PHYSICAL DEMANDS

Work requires sitting, lifting, reaching, walking, and lifting heavy objects, such as a case of paper or several books at once. Need to be in good physical and mental health. Assisting of patients may be required from time to time. Also requires manual dexterity to operate office equipment, keyboarding, copiers, etc.

TYPICAL MENTAL DEMANDS

The employee uses judgement in identifying and selecting most appropriate procedures to use, or in determining which of several established alternatives to use. Some deadlines are involved, so there is time pressure on occasion.

WORKING CONDITIONS

A good deal of work is performed in an office environment, but it is important to realize that some of the work is on the floor and in the other offices.

COMMENTS

Native American Preference will apply. Must be willing and able to pass a criminal history background check with no felonies or serious misdemeanors and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy in regard to confidentiality is a must.
