Clerical Assistant

SUMMARY

This position provides general clerical support for all functions & operations in the department. The major function of this position includes assisting with clerical duties of the entire office. This position may occasionally assist with filing, document compilation and other general clerical duties.

MINIMUM REQUIREMENTS

  • High School diploma or GED.

  • 1-3 years' of experience working in an office.

  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

  • Must have and maintain current CPR/First Aid certification.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Must be punctual, self-starter, have good organizational skills and ability to work well with others.

  • Occasionally direct visitors, clients, and guests to appropriate personnel.

  • Distribute mail and faxes to department staff.

  • Assist in maintaining the files and records of the department and preparing records for storage after the annual audit has been completed.

  • Assist in preparation of correspondence and reports for all programs; assist with mailings as requested.

  • Maintain highest level of confidentiality of all matters involved with client, student and staff records, reports and other documents.

  • Assist with education functions, events and activities.

  • Other duties as assigned by your supervisor.

OTHER SKILLS AND ABILITIES

  • Must have good verbal and written communication skills.

  • Must have good interpersonal skills with demonstrated patience, tact, and respect.

  • Must have good time management and organizational skills.

  • Must have good computer skills, preferably in Microsoft Windows, Word, Excel, Outlook, and other Microsoft office products and database applications.

  • Must have excellent typing skills and type at least 45 wpm.

EDUCATION AND/OR EXPERIENCE

  • High School diploma or GED.

  • 1-3 years of experience working in an office.

DRIVING/OTHER REQUIREMENTS

  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

  • Computer experience preferred.

  • Must have and maintain CPR/First Aid certification.

EQUIPMENT TO BE USED

General office equipment such as calculator, computer, copier, compact disc (CD) recorder, fax machine, phone system, etc.

SUPERVISORY RESPONSIBILITIES

None

TYPICAL PHYSICAL DEMANDS

Work requires sitting, reaching, walking, bending, stretching, kneeling, crawling, and lifting up to 75 lbs, such as a case of paper or stack of books. Also requires manual dexterity to operate office equipment, keyboarding, copiers, etc.

TYPICAL MENTAL DEMANDS

Must be able to deal with difficult people without losing perspective. Must be able to work productively under time restraints, some deadlines are involved.

WORKING CONDITIONS

A good deal of work is performed in an office setting, and some of the work is in the other offices and you are expected to go on-site on an occasional basis.

COMMENTS

Native American preference will apply. Must be able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy in regards to confidentiality is a must.
