Administrative Assistant - Public Safety

SUMMARY

To provide office management, organization, secretarial and receptionist duties for the Captain of Police, Law Enforcement Department and all programs in the office in meeting the goals and objectives of the programs within the department.



ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Must be punctual, have the ability to multi-task and follow directions.
  • Answer incoming calls, monitor phone messages and process/forward daily mail.
  • Provide direction and assist department guests, clients and GTB staff with services provided by department program.
  • Assist in budget preparation and modifications for departmental programs.
  • Oversee the State certifying process for new hires and terminated officers.
  • Assist in monitoring departmental expenditures/payments.
  • Prepare program financial reports according to federal requirements.
  • Schedule and coordinate department meetings.
  • Make travel arrangements including registrations for training, seminars, conferences, etc.
  • Prepare travel closeouts.
  • Reconcile credit card billings for payment.
  • Type evaluations, reports, and correspondence for all departmental staff as directed.
  • Maintain inventory of department supplies.
  • Generate, compile signatures and forward necessary department documents including but not limited to check requests, purchase requisitions and time off requests.
  • Assist with dispatch when necessary.
  • Performs other duties as assigned

OTHER SKILLS AND ABILITIES

  • Must be knowledgeable in the use of Microsoft Word, Excel spreadsheets, Outlook software, telephone switchboard, transcriber, calculator and LEIN terminal.
  • Must be able to maintain confidentiality.
  • Must have good oral and written communication skills.
  • Must be self-starter, have excellent organizational skills and ability to work well with people inside and outside the GTB.
  • Must be LEIN certified/have the ability to become LEIN certified.


EDUCATION and/or EXPERIENCE

  • Must have a minimum of Associates Degree preferably in Business Administration.
  • Must have a minimum of one year experience in office administration.

DRIVING REQUIREMENTS

  • Must have reliable transportation in order to travel throughout the six-county service area when required.
  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

SUPERVISORY RESPONSIBILITIES

None.


EQUIPMENT TO BE USED

General office equipment including but not limited to computer, modem, copier, fax, phone systems, dispatch telephone and radio, transcription equipment and LEIN terminal.


TYPICAL PHYSICAL DEMANDS

  • Work requires sitting, lifting, reaching, walking, and lifting heavy objects, such as a case of paper or several books at once.
  • Requires manual dexterity to operate office equipment, keyboarding, copiers, etc.
  • Should have corrected normal range of hearing and sight.
  • Must be able to attend various skill update training.

TYPICAL MENTAL DEMANDS

  • Must be able to do simple math calculations.
  • Must be able to analyze program problems and come up with a solution.

WORKING CONDITIONS

A climate controlled office environment.


COMMENTS

Native American Preference will apply. Must be able to pass a criminal history background investigation with no felonies or serious misdemeanors and a drug and alcohol urinalysis as a condition of employment. Must have a valid driver's license and be able to be insured with the Tribe. Adherence to strict company policy in regard to confidentiality is a must. Compliance with the above is a condition of continued employment.
