Accounts Payable Clerk/RTM

SUMMARY

This position is responsible for data entry of check requests & invoices for payment on the Accounts Payable module of the accounting department computer software system. This position may process the daily accounts payable entries for payment according to established procedures. Every other week, this position will print the daily accounts payable checks and mail them to the vendors in accordance with established procedures. This position will also be responsible for the processing of qualified Resident Tribal Member (RTM) tax exemption certificates and the monthly RTM tax status change notifications to Tribal Members.


MINIMUM QUALIFICATIONS

  • High School diploma or GED required.
  • Previous experience in working in an office setting is required or any equivalent combination of education, experience, and training that provides the required knowledge, skills and abilities.
  • Previous work experience involving use of a computer is required.
  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Prepare daily accounts payable batches of invoices for check runs in accordance with established procedures.
  • Answer telephone and respond to vendor inquiries about invoice and payment status.
  • Be knowledgeable of accounting department policies and procedures.
  • Make follow-up calls to vendors to verify invoice or statement information.
  • Serve as backup to main Cashier to perform cash receipts duties including data entry into the accounting system in accordance with established procedures.
  • Perform duties of Accounts Payable Supervisor when A/P Supervisor is absent in accordance with established accounts payable procedures.
  • Assist in matching invoices and purchase orders to prepare documents for payment.
  • Prepare and perform check runs in accordance with established procedures.
  • On occasion, prepare checks for mailing and forward to the mailing center for processing.
  • Maintain an orderly file system of check copies and supporting documentation in department files.
  • Make follow-up phone calls to department managers and/or program directors to verify invoice documentation and/or information.
  • Prepare records for storage after the annual audit has been completed.
  • Prepare tax exemption certificates for qualified Resident Tribal Members after verification of required documentation.
  • Process the monthly clerical RTM tax status change notifications for Tribal Members.
  • Perform other duties as assigned by your supervisor.

OTHER SKILLS AND ABILITIES

  • Must have good written and verbal communication skills.
  • Good time management and organizational skills are essential.
  • Interpersonal skills with demonstrated patience, tact, and respect are desired.
  • Must have enjoyed attention to detail and possess follow-up skills.
  • Work requires proficiency in computer literacy, preferably in Microsoft Windows, Word, Excel, and other Microsoft office products and database applications.
  • Must be able to type at least 40 wpm.
  • Uses good judgement in interpreting established procedures and guidelines, in adapting department procedures, or in recommending approaches or solutions for specific problems.
  • Attend all training classes necessary to keep skills updated.
  • Ability to work with large amounts of data, interprets invoices, and detects errors.

EDUCATION and/or EXPERIENCE

SUPERVISORY RESPONSIBILITIES

No supervisory responsibility is required.


EQUIPMENT TO BE USED

General office equipment such as, calculators, computers, modem, copiers, fax, phone systems, etc.


TYPICAL PHYSICAL DEMANDS

Work requires sitting, lifting, reaching, walking, and lifting heavy objects, such as a case of paper or several books at once. Also requires manual dexterity to operate office equipment, keyboarding, copiers, etc. Should have corrected normal range of hearing and sight.


TYPICAL MENTAL DEMANDS

The employee uses judgement in identifying and selecting the most appropriate procedures to use, or in determining which of several established alternatives to use. Some deadlines are involved, so there is time pressure on occasion.


WORKING CONDITIONS

A good deal of work is performed in an office environment, but it is important to realize that some of the work is on the floor and in the offices of the various properties and that you are expected to go on-site regular basis.


COMMENTS

Native American preference will apply. Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy regarding confidentiality is a must.
