* The 477 Program Coordinator is a grant funded position; therefore, the duration of this position is subject to the guidelines outlined in the grant.



COMMITMENT TO TRIBAL MEMBERS SERVICE

Service encompasses all aspects of the Grand Traverse band of Ottawa and Chippewa Indians' governmental operations. Every employee shares the responsibility to provide exemplary service, dignity, and respect to all Tribal Members, the Tribal Council, and staff members. To this end, all employees have an obligation to identify and report any service problems, issues, or concerns and through designated channels, initiate, recommend, and actively participate in solutions.



SUMMARY

The 477 Program Director provides direct service to Tribal members needing assistance with: Job Placement Assistance, GED Completion or Other Skill Development, Career Exploration and Assessment, Classroom Training, Support Services, Self-Sufficiency Training, and Referrals.


MINIMUM QUALIFICATIONS

  • Associates Degree in Business Management, Social Science Degree or related field. *
  • Knowledge of Microsoft Windows operating system, Microsoft Office Suite, Excel, and other computer software.
  • 3 years of related office experience.
  • Excellent verbal and written communication skills.
  • Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assisting Tribal Members achieve work and educational goals related to self-sufficiency, as necessary.
  • Plan and implement necessary meetings to fulfill activities, and work plans necessary for grants.
  • Attend all staff and conference meetings.
  • Enter data into general ledger.
  • Facilitate workshops and assist in the administration of the assigned tribal programs.
  • Initiate purchase requisitions check requests and other necessary program management under the provisions of the programs.
  • Process intake eligibility determinations for all applicants.
  • Maintain client files.
  • Coordinate with other internal and external assistance programs as appropriate.
  • Complete various program budgets and reports.
  • Submit monthly report to supervisor.
  • Submit annual reports to US DOI.
  • Work closely with OM&B to ensure budgets are on task & all reporting requirements are completed.
  • Facilitate Career Development Training to as requested to clients.

OTHER SKILLS AND ABILITIES

  • Use Microsoft® Windows operating system, Microsoft® Office Suite, and other computer software
  • Excellent verbal and written communication skills
  • Basic knowledge of business budgeting, accounting, purchasing, and planning
  • General knowledge of applicable law, regulations, rules, procedures, and administration is required
  • Excellent interpersonal skills with demonstrated patience, tact, and respect
  • Exceptional detail and follow-up skills
  • Ability to effectively establish priorities and meet deadlines
  • Ability to quickly evaluate alternatives and decide on a plan of action
  • General proficiency in computers.
  • Ability to type at least 45 words per minute. This shows stamina in an office setting.

  • Critical thinking skills (the objective analysis & evaluation of an issue in order to form a judgement).
  • Completed work is reviewed for technical accuracy and for completeness in terms of compliance with instructions and with applicable department procedures and policies
  • Review of the work increases with the more difficult assignments, if the employee has not previously performed similar assignments
  • Completes recurring assignments independently without specific instruction
  • Guidance is provided for more difficult assignments or when problems or unfamiliar situations arise
  • Uses judgment in identifying and selecting the most appropriate procedures to use, or in determining which of several established alternatives to use
  • Established procedures and specific guideline are available through resources including, but not limited to procedural manuals, textbooks, and work samples.
  • Situations not covered by precedents or guidelines are referred to the supervisor. In these cases, oral explanations and guidance are provided so that an understanding of the departmental function is gained.

EDUCATION and/or EXPERIENCE

  • Associates Degree in Business Management, Social Science, or related field. *
  • Successful completion of Program Director Training (when offered)
  • 3 years of related office experience.

SUPERVISORY RESPONSIBILITIES

General office equipment including computer, calculator, copier, fax, phone system, and so on



TYPICAL PHYSICAL DEMANDS

Requires sitting, lifting, reaching, walking and lifting heavy objects, such as bags of groceries or several books at once. Also requires manual dexterity to operate office equipment, keyboarding, copiers, and so on.


TYPICAL MENTAL DEMANDS

The ability to perform independently with minimal supervision, calmly and decisively, in response to the demands of the position


WORKING CONDITIONS

Normal office environment with some automobile travel.


COMMENTS

Native American preference will apply. Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Adherence to strict company policy regarding confidentiality is a must.
